Tutoring Services Agreement
1. Services
The Tutor agrees to provide specialised tutoring services to the Student in subjects or areas as mutually agreed with the Client. Sessions may be delivered in person or online. In-person sessions take place at 87B Glenmount Road, Mons QLD, unless alternative arrangements are agreed.
2. Term Commitments
All sessions are booked on a per-term basis, aligned with the Queensland Government school calendar, with any exceptions noted on the tutoring calendar provided prior to term commencement.
The Client has seven (7) days to review the calendar and request revisions in writing. If the Tutor does not receive a response within this period, the calendar will be deemed accepted and the dates considered mutually agreed.
Once confirmed, the Client is responsible for payment of all scheduled sessions, including missed sessions, in accordance with the Sunshine Coast Learning Support Cancellation Policy in Section 7.
3. Trial Session
New Clients may book an initial trial session before committing to a full term. This session includes assessment activities, analysis of results, and creation of a personalised learning plan. The fee is the Tutor’s standard rate plus $30.
If the Client chooses to continue, the Student’s preferred available time slot will be held for 48 hours following the trial session. To secure ongoing tutoring, the Client must confirm and arrange payment within this period.
If payment is not received within 48 hours, the time slot may be released to other Clients on a “first paid, first secured” basis.
4. Session Length and Fees
4.1 Session Length
Standard sessions are 55 minutes. Younger students or those who may struggle to focus may book 30- or 45-minute sessions.
Each session includes five (5) minutes of non-contact administration time. Students must be collected five (5) minutes prior to the scheduled end time.
Sessions cannot be extended beyond their allocated duration (25/40/50 minutes) unless otherwise arranged; any additional time will be charged at the applicable rate.
4.2 Session Fees
Private sessions (in person or online):
30 minutes – $75
45 minutes – $105
55 minutes – $125
Small group (max. 4 students, in person): 45 minutes – $75 per student
Clients may book one complimentary 15-minute phone consultation per term.
Collaboration with other professionals, report writing, preparation, and other administrative tasks are billed at the standard hourly rate. Case notes may be taken during sessions to minimise additional costs.
Travel is charged at the hourly rate, in 30-minute increments, plus $1 per kilometre.
5. Payments
Lessons are prepaid via bank transfer or Stripe. The payment secures the Student’s reserved tutoring times. Outstanding payments may result in forfeiture of reserved sessions.
6. Late Arrivals
Sessions commence at the scheduled start time and conclude after 25, 40, or 50 minutes.
Late arrivals do not receive extended time.
Full session fees apply regardless of attendance or punctuality.
7. Cancellations
If the Tutor must cancel, the session will be rescheduled or credited towards the following month.
7.1 Individual Sessions
Clients must advise the Tutor in writing of foreseeable absences prior to the term start.
Cancellations with at least 24 hours’ notice are eligible for one (1) Make-Up Credit per term, subject to availability. Unused credits expire at term end. Clients are responsible for rebooking make-up sessions.
Cancellations with less than 24 hours’ notice are charged at the full session fee.
Students must not attend sessions if unwell. Sessions may proceed via Google Meet where appropriate. Alternatively, the reserved time may be used for consultation regarding progress or learning goals.
Cancellation or reschedule requests must be submitted via direct text message to Mary Grace (0456 054 982).
7.2 Group Sessions
Due to the sequential and collaborative nature of group learning, no credits, refunds, or reschedules are available once invoices are issued.
8. Right to Discontinue and Refunds
8.1 Tutor’s Right
The Tutor may discontinue services with seven (7) days’ written notice.
Immediate termination may occur if continuation is deemed not in the best interests of the Student or Tutor.
Clients will be notified in writing. Any prepaid but unused sessions will be refunded. The Tutor is not liable for losses beyond refunding unused sessions.
8.2 Client’s Right
The Client may discontinue services with seven (7) days’ written notice.
Prepaid monthly packages are non-refundable, except at the Tutor’s discretion in exceptional circumstances, including:
Extended illness or injury (medical certificate may be required)
Relocation outside the service area
Significant family hardship
Other circumstances at the Tutor’s discretion
If a refund is granted:
Completed sessions are charged at the standard rate
A $50 administration fee is deducted
The remaining balance will be refunded or credited
9. Client and Student Responsibilities
Clients and Students agree to:
Arrive on time, ready to learn
Bring all required materials
Treat the Tutor and others with respect and courtesy
Communicate promptly about concerns or scheduling issues
Attempt assigned work
10. No Guarantee of Outcomes
Tutoring is provided with reasonable care and skill. The Tutor does not guarantee specific outcomes, including grades, test results, or program admission.
Learning outcomes depend on factors outside the Tutor’s control. The Tutor is not liable for any loss, damage, or disappointment arising from the Student’s academic performance.
11. Care of Learning Environment
The Tutor provides a safe and supportive environment.
The Client must ensure the Student treats the Tutor’s property, equipment, and resources with respect.
Significant damage caused by the Student may be charged to the Client for repair or replacement.
12. Intellectual Property
All lesson materials remain the property of Sunshine Coast Learning Support Pty Ltd and may not be copied or distributed without written permission.
